14. How Long We Keep Personal Data
We keep personal data only for as long as reasonably necessary for the purposes for which it was collected, including legal, accounting, contractual, rights-management, tax, audit, dispute-resolution and legitimate business purposes.

Different retention periods may apply to different categories of data. As a general guide:

  • unsuccessful submissions and related correspondence may be retained for a reasonable period to manage records, repeat submissions, queries, disputes and agency administration;
  • represented-client records, contracts, royalty records, rights records, payment records and related correspondence may be retained for the duration of representation and for a further period afterwards where necessary for contractual, accounting, tax, rights-management or legal reasons;
  • financial, tax and accounting records are usually retained for at least six years where required for business, tax or legal purposes;
  • recruitment records for unsuccessful applicants are usually retained for a limited period unless a longer period is justified or you consent to us keeping your details for future opportunities;
  • website and technical records may be retained for shorter periods unless needed for security, analytics, legal or operational reasons.

We may retain certain records for longer where necessary to establish, exercise or defend legal claims, manage ongoing rights or royalty obligations, comply with legal requirements, or protect our legitimate business interests.

Where information is no longer needed, we will delete, anonymise or securely archive it as appropriate.

15. Security
We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse, alteration or disclosure.

These measures may include password protection, access controls, secure storage, backups, anti-virus or security tools, confidentiality obligations, limiting access to those who need it, and careful handling of client, submission, contract and payment information.

No system can be guaranteed to be completely secure, but we take reasonable steps to protect the personal data we hold.
